Order Process Specialist

Job Description:

This function is responsible for entering all billable customer orders and for managing sales backlog, ensuring ROI is maximized through timely shipment/billing of sales orders in a manufacturing environment. Works with other departments including but not limited to Sales, Finance, Asset Management and Trade Compliance to resolve issues preventing orders from shipping. Manages both Build to Ship and Build to Stock order though manufacturing. Provide sales, customers and/or management when Open Order and Backlog reports to ensure we are meeting the customers’ needs and are shipping on time. Regularly reviews the backlog to identify and remove sales orders that are no longer valid. Ensure that sales have the most current ship date information and regularly reports the companies on-time delivery performance.

What are the day-to-day responsibilities?

Order Entry & Follow Up through Shipping

– Book Customer Value Added Purchase Orders and Relay Promise Date to Account Manager.

– Enter Sure Ships, orders that must ship that day

– Manage Order Holds; Margin, Export, End Use Certificates, Stopworks, NON-CANCELABLE/ NON-RETURNABLE Contracts – (follow up with Account Manager)

Backlog Management

– Full Backlog & Shorts Report

– Manage dates of Value Added Forecast Orders (Build to Stock) and dates of Buffer Inventory

– Compare Backlog to Customer Open Orders

– Follow up with Asset for; Shorts, Lead Time, Vendor Confirmation Dates

– Issue Receiving Expedites

Experience:

  • 5 years of experience in Financial/Reporting/Oracle/Excel Advanced – Pivot Tables and V-Lookups, and Access is a plus.

  • Manufacturing and/or Supply Chain/Distribution Experience

  • Great Attitude working in a Team but also Likes to work in the background with little supervision

  • Fit into AIS – the entrepreneur Division in Arrow

  • Coachable, open to input from Bosses, peers and workgroups

  • Very comfortable with Spreadsheets with large amounts of data to analyze and focus on solutions

  • SUPERIOR attention to Detail

  • Able to Multitask

  • Can stay late or come in early

  • Hours: 8-5 usual hours and is available for overtime
