Executive Assistant and Office Manager

Job Description:


  • Screening of all incoming calls and post to Board of Directors.

  • Management and co-ordination of five diaries for Board of Directors and Divisional Director Level, ensuring travel arrangements are made, meetings scheduled, rooms booked and preparation for meetings provided when required.

  • Weekly diary management meetings with all directors.

  • Cash and credit card expenses

  • Providing secretarial support for management team when requested, including assistance with travel arrangements.

  • Assist in any projects requested by the board.

Office Manager

  • Reconcile all company credit card transactions on Concur in timely manner.

  • Raising of Department Purchase Orders – ensuring any entertaining/hospitality requests have gone through the approval process.

  • Sign off of maintenance and service invoices for all office locations.

  • Arranging accommodation and payment of utilities for Arrow interns.

  • Upload facilities requests/work to be done on FM360. When necessary arrange for contractors to come on site or instruct maintenance team.

  • Liaising with cleaning company, ensuring standards are met and any additional requirements catered for.

  • Provide assistance on company expense and travel system, Concur for all employees.

  • Photocopying, laminating, binding, ad hoc admin duties as required.

  • Provide cover on reception when required.

  • Ensure office runs smoothly getting involved in any refurbishment work and liaising with FM.

  • Part of Employee Voice Forum and make sponsorship payments.

  • Maintaining hotel rates at preferred hotels.

Head of Administration

  • Manage the security/maintenance team in Harrogate, ensuring rotas are kept up to date, holidays and sickness are covered and over time submitted monthly.

  • Manage Office Administrators/Receptionists in Harrogate, London and Newmarket ensuring all calls and visitors are dealt with promptly and professionally.

  • Ensure that holidays are approved and recorded in Workday and cover organised if required.

  • Manage any sickness of the team.

  • Catch up every two/three weeks, either face to face or Skype.

  • Ensure that they are working to their goals on workday.

  • Assist with any day to day issues.
