JOB TITLE: Marketing Finance Administrator DIVISION: Marketing JOB LOCATION: Harrogate JOB DESCRIPTION AIM OF THE ROLE: To administer the processing/claiming of marketing spend from vendors. This will involve working with the respective marketing managers with monitoring and supporting their marketing budget. This will predominantly comprise of using the claiming portals of the respective vendors, ensuring all supplier invoices are correct and each activity is claimed in a timely manner from the vendors. KEY RESPONSIBILITIES Duties will include, but are not restricted to: · Work with the marketing managers to ensure all marketing activity has a marketing Purchase Order (PO) raised and is correctly tracked on their excel budget trackers. Create marketing POs on the internal Marketing Activity Finance (MAF) system as and when needed. · Check marketing supplier invoices that are received in for marketing activity. Ensuring they are correct and that the activity is claimable from the vendor before releasing payment. This will also include a close relationship with accounts payable. · Raise Arrow invoices to vendors when required following the correct procedure and support credit control in collecting the cash through relationships with vendors. · Monitoring and track all expenditure and receipts on individual vendor excel budget trackers and manage a master tracker ensuring that they balance with the company general ledger. · Working with the marketing manager, collate and check ‘proof of performance’ documentation to claim monies back from vendors. This is generally done via a vendor portal. You will be required to support the marketing managers with all of their claiming regularly working on these portals to ensure monies are claimed by the deadlines. · Conduct monthly budget reviews with marketing managers to ensure that all claiming is done within the deadlines that are stipulated by the vendors. · Work closely with the Arrow’s Marketing Finance Manager who is responsible for the finance and administration of the overall budget to ensure consistency and accuracy. · Monitor and track compliance documentation authorisation of business gifts, incentives and corporate hospitality with the UK/EMEA compliance team. Working within anti-bribery and corruption policy rules. PERSON SPECIFICATION The ideal candidate will have the following skills, attributes and experience: An individual with finance experience ideally gained in a commercial environment, however is not essential. Previous experience of marketing activities would be advantageous although also not essential. Working knowledge of excel is crucial.
