Executive Assistant

Job Description:

This position will provide administrative and business support to the VP of Sales for Arrow Intelligent Systems (AIS) and other AIS executives as needed.

Principal Accountabilities

  • Works independently to perform advanced, diversified, complex and confidential duties.

  • Prepares, composes, and initiates correspondence, memoranda, presentation materials and reports.

  • Organizes and prioritizes workload to meet deadlines.

  • Answers and screens telephone calls, takes messages, provides information, or redirects calls as appropriate. Receives and directs visitors.

  • Schedules and maintains calendar of appointments, meetings, travel itineraries and coordinates related arrangements.

  • Arranges meetings and conferences, prepares and distributes minutes of meetings.

  • Proficient technically in operating a personal computer and appropriate software packages, such as MS Office and Mac.

  • May develop queries, generate and distribute reports.

  • Maintains appropriate records, files and documentation. Maintains confidentiality of all information.

  • Plan, coordinate, execute and participate in Executive Leadership Team meetings.

  • Draft and review internal communications.

  • Create executive summaries and other preparatory material for internal and external meetings to ensure VP is fully prepared.

  • Coordinate detailed domestic and international travel and expenses.

  • Work closely with team members to create seamless presentations and meetings.

  • Create, verify, and submit expense reports.

  • Work with Marketing team to build Arrow and the VP’s brand in social media, written communications, and presentations.

  • Work with Executive Leadership Team and other team members to gain mutual respect in order to best support the VP and other executives.

  • Create, modify, and contribute to highly important, and sometimes confidential, presentations and materials.

  • Is highly responsive and detail oriented, with excellent follow through

  • Identifies and resolves key issues and patterns from partial/conflicting data; is creative in solving problems

  • Takes a broad perspective to problems and spots new, less obvious solutions. Uses business acumen and judgment based on policy, situation, and precedence.

  • A senior-level support role: works independently and has discretion to make complex decisions on a daily basis

  • Ability to handle stress in high pressure environment

  • Communication and information exchange is a significant feature of the job requiring open and collaborative exchange of ideas and information in a concise, logical, and professional manner. Developed communication and diplomacy skills to exchange complex and/or sensitive information with multiple stakeholders, customers and employees (internally and externally).

  • Has superior writing and presentation creation skills. Is able to create, review and edit material on behalf of the VP.

Experience / Education

  • Typically requires a 4 year degree and 1–2 years of experience or a 2 year degree and equivalent related experience
