The Head of People, Performance and Culture requires a Receptionist who will be responsible for all reception and guest relation functions in the Sydney Head office; other responsibilities include high level analysis and processing of staff expenses in conjunction with the Finance department. The successful candidate must be well spoken and well presented as he or she will represent the face of Arrow ECS Australia Pty Limited and is often the first person to create a positive impression and/or experience of the company.
The successful candidate must be well presented and must have at least two years of corporate experience and be confident in dealing with people of all levels. Knowledge of reception functions, guest facilities and basic accounting would be highly regarded. Well-developed skills in Microsoft Office applications such as Outlook, PowerPoint, Excel and Word are a necessity. The successful candidate must be a multitasker with outstanding attention to detail, strong analytical and mathematical skills and excellent verbal and written communication. This role would suit someone who is
reliable, dynamic and motivated with a strong work ethic, who genuinely wants to develop and succeed. The candidate must be completely trustworthy and confidential and should be capable of working autonomously whilst delivering 100% to the company’s objectives, its success and most importantly to the candidate’s own sense of job satisfaction. As the candidate will be required to liaise directly with the company’s customers, external contacts, employees and management, someone who enjoys working with people on a day to day basis is a necessity.
Essential Duties and Responsibilities:
Answering all incoming calls to Arrow’s main reception line and efficiently transferring and announcing callers to the relevant business unit or department and/or specific employee.
Receiving all guests to the main entrance of our Head Office in a timely, professional and welcoming manner.
Managing Arrow’s guest areas and meeting rooms at all times, so that they are kept clean and tidy; ensuring fridges are stocked, coffee machines are fully functional and dishwashers are cleared.
Managing and ordering the supply of kitchen amenities for our two building units on a daily basis and stationery as required, ensuring stock levels are maintained and expenditure is monitored at all times.
Assist in coordinating visitor training days at Arrow, organising required catering and ensuring that training facilities are kept clean and tidy, are fully equipped and stocked at all times.
Ensure all staff kitchens are stocked and fully functional at all times.
Be a “go to” person to ensure that Arrow’s Expense Policies are well understood, promoted and adhered to.
Review, monitor and analyse all Employee Expense Claims, both for cash reimbursements and the company’s corporate card expenses, (American Express). Through the use of our expenses module, Nexonia and NetSuite, be responsible for finding all discrepancies and organising amendments where required.
Assist in the expense claim approval process, ensuring that expenses submitted via the expense claims process are tracking to the expense and travel policy, and monthly cash reimbursements and reconciliation of the Corporate Card Account for the Finance department.
Detailed and active input into the application and submission process for Human Resources related awards (such as the Great Place to Work initiative).
Request a biography and photograph from each new starter prior to their commencement, review, edit and/or rewrite and arrange upload to the company’s intranet site.
Distribution of incoming postal mail to employees, monitoring and dispatch of outgoing mail on a daily basis, monitoring postal supplies and replenishment when required.
Preparation of all employee birthday and anniversary slides using PowerPoint presentations and broadcasting them via email to all staff.
Maintenance of all employee contact details. Monthly updates are to be sent to the HR Team by the first calendar day of each month.
Monitoring of car parking arrangements for guests and designated employees at the front of Arrow’s head office.
Participate and provide direction during all building evacuation procedures and incidents. Key involvement in Workplace Health and Safety matters is also expected
Assist the Head of People, Performance and Culture, and HR Assistant in all aspects of the Human Resources function as required.
